Senior Executive Assistant, Vancouver

The Role

Andersen LLP is looking for a full-time Senior Executive Assistant to provide high-level administrative support to our Vancouver Partners and other senior staff within the Firm. Reporting to the Director, Operations, the successful candidate will be able to ensure on-time completion of a multitude of projects, provide essential support service to our Partners.

The role aids with various administrative and organizational needs of the Partners, such as setting up appointments and overseeing schedules. Acting as a gatekeeper, when requested, this role aids in deciding which phone calls, emails, or in-person meetings get through to the Partners. They also conduct business with other colleagues or external vendors on behalf of the Partners.

Responsibilities:

  • Performs clerical and administrative tasks including drafting letters, memos, reports, and other documents for Partners.
  • Keeps the Partners’ calendar up to date, including adding events/meetings (including blocking potential windows to ensure efficient bookings), rescheduling appointments, and providing daily briefings.
  • Arranges travel and accommodation for Partners.
  • Manages ad hoc administrative tasks regarding CPA on behalf of the Partners (CPD tracking, annual CPD submission, etc.) and memberships.
  • Update Zoho Client Relationship Management (CRM) software for Partners with all necessary details.
  • Schedules and attends some internal meetings with Partners, taking notes and recording minutes.
  • Performs office tasks including maintaining records, ordering supplies, completing accurate expense reports and coding invoices for Partner and review and payment.
  • Collaborates closely with the Calgary Senior Executive Assistant, and provides backup for them during vacations, etc.
  • Maintains a high degree of discretion and confidentiality.

Qualifications:

  • High school diploma required, post-secondary diploma/degree in Business Administration or related field preferred.
  • At least 10 years of related and progressive experience in administration is required.  (An equivalent combination of education and experience will also be considered.)
  • Has intermediate to advanced skill level in Microsoft Outlook, Word, Excel, and PowerPoint.
  • Strong attention to detail and ability to manage multiple tasks in a fast-paced environment.
  • Demonstrated experience in managing executive calendars effectively.
  • Advanced organizational and time management skills with the proficiency to prioritize tasks effectively.

Andersen is a hybrid workplace and the successful candidate will be required to be physically present in the office a minimum of 2 days per week, depending on the workload, with the remainder of the time worked remotely.
