Operations Support, Calgary and Vancouver

The Role

Andersen LLP is seeking two part-time Operations Support employees (one in Calgary and one in Vancouver) to provide administrative and marketing support to our Operations and Tax teams. Reporting to the Manager, Operations, the successful candidates will work effectively together to ensure timely completion of multiple projects, supporting our two main offices.

This role combines administrative support with marketing responsibilities, ensuring smooth day-to-day operations and assistance with firm events, materials, and promotional efforts. Responsibilities include creating a welcoming environment by greeting guests, answering phone calls, directing visitors, and taking messages; managing client queries by passing them to the appropriate parties; and handling incoming and outgoing mail and couriers.

Working Hours are:

Calgary Role: 8:30 am – 1:00 pm MST
Vancouver Role: 12:00 pm – 4:30 pm PST
Working in the office 5 days per week

Responsibilities

In addition to the above, the Operations Support role will:

Operations:

  • Assist with all shipping and receiving needs.
  • Manage inventory (office, kitchen, IT supplies, and promotional giveaways).
  • Maintain kitchen areas, including stocking, cleaning, and ensuring functionality.
  • Manage boardrooms to ensure cleanliness and readiness.
  • Serve refreshments to visiting clients.
  • Support external contractors during onsite work.
  • Liaise with Building Management for service needs.
  • Assist IT with office equipment and third-party support coordination.
  • Other duties as assigned

Marketing:

  • Purchase event tickets for staff and update shared calendars.
  • Organize and manage business cards, marketing materials, and promotional items for new employees.
  • Coordinate materials and setup for events.
  • Keep inventory of promotional giveaways.
  • Provide on-site support at events when required.
  • Other duties as assigned

Qualifications:

  • High school diploma required.
  • At least 3 years of related and progressive experience in administration is required.  (An equivalent combination of education and experience will also be considered.)
  • Possesses intermediate to advanced skill levels in Microsoft Outlook, Word, Excel, and PowerPoint.
  • Strong attention to detail and ability to manage multiple tasks in a fast-paced environment.
  • Demonstrated experience in managing clients and busy professional staff effectively.
  • Advanced organizational and time management skills with the proficiency to prioritize tasks effectively.

The successful candidate will be required to be physically present in the office 5 days per week.
