Operations Support, Calgary and Vancouver

The Role

Andersen LLP is looking for two part-time Operations Support employees (one in Calgary and one in Vancouver) to provide front line administrative support to our Operations and Tax teams within the Firm. Reporting to the Manager, Operations, the successful candidates will work effectively together to be able to ensure on-time completion of a multitude of projects, provide an essential support service to our two main offices.

The role aids with various administrative and client service needs of the Firm, such as creating a welcoming environment by greeting guests, answering phone calls, directing visitors, and taking messages for employees; managing client queries or issues by passing them on to the appropriate parties; and managing incoming and outgoing mail and couriers.  Working hours are:

  • Calgary Role:  8:30 am – 1:00 pm MST 
  • Vancouver Role:  12:00 pm – 4:30 pm PST
  • Working in the office 5 days per week

Responsibilities:

In addition to the above, the Operations Support role will:

  • Assist with all shipping and receiving needs.
  • Manage inventory (office, kitchen, and IT supplies).
  • Manage and maintain kitchen areas including stocking products, maintaining coffee machines, unloading/running dishwasher, monitoring fridge contents and cleaning it out as necessary, etc.
  • Manage and maintain boardrooms to ensure that they are clean, organized and fully operational.
  • Serving refreshments to clients when they visit the office.
  • Support external contractors to conduct onsite work.
  • Assist the Operations department with Building Management for service requirements.
  • Assist Information Technology as office liaison to third-party support provider.
  • Assist staff with office equipment and procedures, copy machine, scanner, setting up video conferences, etc.

Qualifications:

  • High school diploma required.
  • At least 3 years of related and progressive experience in administration is required.  (An equivalent combination of education and experience will also be considered.)
  • Possesses intermediate to advanced skill levels in Microsoft Outlook, Word, Excel, and PowerPoint.
  • Strong attention to detail and ability to manage multiple tasks in a fast-paced environment.
  • Demonstrated experience in managing clients and busy professional staff effectively.
  • Advanced organizational and time management skills with the proficiency to prioritize tasks effectively.

The successful candidate will be required to be physically present in the office 5 days per week.
